The BEO as a document

The guest count changes on Thursday and the kitchen is still prepping from Monday's printout.

The kitchen's card moves to "Changed" with the new count on it, and stays there until the chef confirms.

You find out the AV wasn't set up when the client's slideshow won't start.

Setup and AV are ticked off by the setup crew, with a name and a time, before the doors open.

A menu swap is shouted across the line and nobody wrote it down.

Every edit to a published BEO is written up as a change note: what it was, what it is now, who changed it.

The dishwasher, the chef and the houseman all get the same six-page PDF.

    Both crews are flagged

    The menu sign-off and the setup sign-off reopen, because a headcount change touches the plates and the tables.

  4. 3:40 pm

    They confirm again

    The chef ups the short rib order and ticks the menu done. The setup crew adds two rounds and ticks setup. The manager sees both ticks, with names and times.

What is a banquet event order (BEO)?
A banquet event order is the working document for one function: the room, the guaranteed headcount, the menu, the room setup, the AV and the timeline. Sales writes it, and the kitchen, setup and service teams work from it on the day.
Is this a banquet event order template?
It replaces one. Instead of a Word or Excel BEO template you fill in and email, each BEO is a page with the same sections. You can still print it or export it to CSV for the client or the file.
What happens when a BEO changes after it's published?
The edit is saved as a change note (what it was, what it is now, who changed it), the BEO's version goes up, and the crews whose part changed have to tick their section done again.
Is this banquet event order software for big hotels?
It's built for venues with one to four function rooms: small hotels, banquet halls, country clubs and private clubs. Large hotels usually run full catering and sales suites.
Does it do proposals, contracts, payments or bookings?
No. It's just the order sheet and the sign-offs. Keep your booking calendar, contracts and billing where they are.
How much does it cost?
